Students, courses, classrooms, prerequisites, books,
supplies, audiovisual equipment, computers, software,
qualified training personnel, evaluations, payment methods,
acknowledgements, receipts. The business of education is as
much about logistics as it is about personal
development—especially when the objective is profit.
KnowledgeLink was a rapidly growing provider
of training services to the technology industry. Experts in
designing training courses and programs for enterprise,
KnowledgeLink faced a huge logistical challenge in bringing
all the necessary resources together for the hundreds of
courses they offered at any given time across multiple city
locations. Especially cumbersome was tracking special
(non-standard) course requirements and avoiding “double
booking” of classrooms, equipment, and/or qualified
instructors. As with any professional services firm,
KnowledgeLink was very sensitive to any miscalculation in
the delivery of their services. Because they had no single,
standardized system, KnowledgeLink was forced to employ a
number of logistics personnel who were tasked with manually
reviewing course scheduling and logistics across the
company.
In addition to those challenges,
KnowledgeLink was on a rapid track of acquisition. Each
newly acquired training company had their own methods and
systems for handling scheduling and course logistics.
Without a comprehensive, scalable, and flexible course
management system, integrating new training operations into
KnowledgeLink was a slow, labor-intensive task.
Enter PWI Within three months PWI delivered a
comprehensive scheduling, course management, and transaction
information system. Additional modules, such as a universal
finder (designed to search the database of customers and
students using only fragments of fields) and an inventory
management system were added over the next two months. PWI
also provided training to coordinators across all
KnowledgeLink offices. The resulting systems, GEMS,
dramatically reduced the time and effort necessary to
schedule and manage classes. The system also gave
KnowledgeLink the flexibility to centralize many of the
scheduling-related functions. The result was a dramatic
reduction in administrative costs at the same time that
service quality improved.
